- The organogram should be a properly organized structure, step by step, so that it would not present any ambiguity to the viewer about the organization’s structure.
- The designing of organogram is also critical. It must have boxes or circle of same size and equally spaced.
- Whole structure must be covered on same single page. If not possible, then split it into parts at points that do not confuse the observer.
- For better communication and connection among the employees, all the information related to them must be added to the org-chart such as name, title of job, photos, email address and contact numbers.
Organogram Selection:
Organizations mostly chose their organizational structures depending upon different factors:
- To create ambitious environment for the workers.
- Type of industry, education and private.
- Maturity level of employees.
- General trending org-chart at that time.
Types of Organograms:
There are various type of org-charts that are designed for different type of organizations for different purposes. They are usually created by using MS office, MS excel and Power Point. Basically, an organizational structure is formed in two ways: Functional and Divisional. A functional structure is a type of organogram that divides the whole organization into small specialized sectors. While, the division type is the further division of each small specialized organogram into its respective parts/ functions such as products produced by a specialized structure. Hierarchical or Tree, Matrix and Flat or Horizontal are the three main types of organogram structures. Given below is the complete description along with templates of each types that will hopefully assist you to make one for your organization.
Hierarchy Layout/ Tree Structure:
In hierarchy type of organizational structures, an arrangement is presented which represent all parts in subordination of one entity that is head towards them. It is typically of tree or pyramid shape, in which each entity shows its authority over the one present below it. Those at higher level are supposed to exercise more power, authority and rewards compared to ones that descend down to bottom. Thus, reporting relationships are highlight of such organizations. This is the most common type of organogram used by large organizations, government etc which have different levels of authority and management.
Advantages and Disadvantages:
Hierarchal organograms come up with some advantages such as authority and responsibilities are obvious to employees, it motivates employees to get promotion, it transforms employees into their field specialists etc. However, such organizational charts have some limitations also. This may include disadvantages such as staff and responsibilities may change from time to time so it is supposed to be updated continuously. Also communication gap develops between different departments of organization, each different department would think of its department’s best interest rather than the organization as a whole. The overall cost of the organization may increase due to salaries of multilayered levels of management.

Flat or Horizontal:
Horizontal type of organograms are mostly used by the small or newly started organizations. These organizations do not have reporting relationships, only assigned goals are supposed to be achieved. Organizations when grow larger then sometime they may adopt different organizational structure. It cannot be possibly of any use for larger organizations with multilayer managements and projects. It generally has only two levels. The top authority and the lower workforce. There higher authority is at the top while the lateral relationships are shown by connecting with lines showing all of them at the same level. It cuts down all the layers of management thus there is a close relationship between the top authority and the lower workforce.
Such organograms show employees independence in taking decisions as it eliminates all the underlying managements. Hence, all the work force is involved in making decisions and thus it would help them to become more productive and grow professionally. No employee in the organization have superiority over the other. All workers have same level of responsibilities. Also, all the efforts and participation made by the employees in every task by each employee are highly transparent.
Advantages and Disadvantages:
Sense of responsibility among workers and encouraging environment for better co-ordination and communication helps in rapid execution of ideas and projects within an organization. These are basically the hallmarks of horizontal type of organizations. However, there are some demerits associated with the structure such as these organizational structure may not be feasible for the organization as it grows larger with time, it can sometimes create confusion as the supervisors are not properly assigned and there is no workers with specialized skills and knowledge.

Matrix:
Matrix structures are quite differently used as compared to the hierarchical and horizontal type of structures. It has a grid like structure in which there are different teams that are expected to perform different functions and produce difference end products. Each team is given a specific task to accomplish. However, there is a multi-layered management on the work force. For example: In a textile mill, all engineers are bound to report the textile engineering manager. Apart from that under each specific project they have to report to that project manager also. The textile engineering manager is accountable to engineering head. So most of the employees report to a minimum of two managers.
Therefore, unlike hierarchical and horizontal type of structures, matrix structures are specially designed for organizations where there are both specialized roles assigned to individual teams of organization but also they have reporting connection with higher authorities.
Advantages and Disadvantages:
Advantage of mentioned organogram make use of specialized individuals which are chosen according to the need of project. Sometimes employees are also allowed to utilize their expertise in different sections, other than their actual roles. It portrays a continuously progressing organization.
Disadvantages is may be that the managers of different projects, departments and teams of the organization may start a dispute or disagree over some decision. Also, changes in such organizational charts are more frequent as compared to others.
Pros of Organizational Chart:
2. Help the new employees to connect with the already existing group easily and quickly as they may know them through org-chart.
3. Management of work load is efficient. For example: how many departments and individuals are under the supervision of manager.
4. Better future planning.
5. Better allocation of resources.
6. Quick discovery of an individual’s competency.
Cons of Organizational Chart:
2. Organizational charts only cover the formal communication channels while mostly ignore the informal channels. They are not supposed to be included in an organogram but their absence might bring its disadvantages such as ineffective communication. This is generally considered as the biggest disadvantage of an organizational chart.
Tips to Enhance the Utility of an Organogram
Organizational structures can be assembled in a manner that can transform them into more meaningful and useful charts. For this purpose following three tips points must be exercised while creating an org-chart:
Divide and Conquer:
In large organizations, such as multinational companies, org-charts become very huge and complicated. To avoid any mistake and difficulty in such cases, the departments, projects, sites and regions etc of the organization can be split into smaller charts. It makes the chart comparatively easily understandable. Organization progress and individual employee work load can also be monitored with ease. Each section can be competitively examined to give a clear picture about the ongoing situation and to streamline the allocation of resources for each condition.
Moreover, multiple sub charts of large organizations covering several pages pose difficulty to the viewer as they feel displeased while finding links between the related charts. For this purpose a drawing tool is accessible both online and offline. It greatly assist in creating complex structures conveniently. In this way the observer is able to access an individual profile, find links between different sections and navigate between different sub charts.
Sound Grouping and Linking:
Rational grouping relies on how different individuals, departments and activities are related to each other. While making sub charts, each chart must be made with utmost care to avoid irrelevant mingling of the groups and to create sensible linkages between them so that the chart appears understandable to the viewer. Optimization and differentiation of the groups is also crucially important.
Linkage between parts within a group as well as among the groups should be the focal point because it is important to develop coordination, sharing of information and easy supervision. Within groups linkages are formed by using lines while between groups is made by drawing dotted lines between them.
Clear Indication of structural Hierarchy and Reporting Paths:
Reporting paths must be clearly highlighted. It provide easy understanding for both the outside viewer and the employee. The paths can be made prominent by using different color codes, outlines of boxes and circles, line styles. Such as employees with 1 year service, new employees, those who are not performing well in work, hiring dates of employees, pay packages, key roles, department to which the employee is affiliated etc could be indicated in an org-chart in different manners. Future state of the organization can also be indicated. In this way, the org-chart clearly indicate the strategy of the organization.
Hence, in essence, an organogram is an absolute reflection of an organization, manifesting the correlation among its various units.
